Decoration

Approve artwork conversion and measured logo placement across the size range.

Timing

Confirm the production window and delivery milestones against the season date.

THE PROCUREMENT DECISION PATH

Four Decisions Before the First Fixture.

Follow the sequence from roster fit to final delivery, or jump to the issue your team needs to resolve first.

Sizing for the Entire Roster

A complete size run gives every player a fitting reference.

THE PROBLEM

One approved medium does not show how the smallest or largest garment will fit. A club order can include juniors, adults, different body proportions and several playing positions. If the grade is wrong, exchanges and replacement freight arrive precisely when the team needs its kit.

PROCUREMENT INSIGHT

The sample approval should represent the actual order. Build the size breakdown from the roster and check a garment in every required size. Record the measurements and fitting comments together, including movement and any differences between junior and adult blocks. Retain the approved set for additions and next-season orders.

What to Check Before Approval

Ask for the full ordered size range, fitted before bulk cutting. Compare the measurement chart with the physical garments and confirm how the supplier handles the few pieces that still need an adjustment. Review apparel size grading →

Consistent Colors on Every Reorder

Keep the same team identity from one season to the next.

THE PROBLEM

A replacement shirt can be the right design and still look different beside the original kit. A new fabric lot, thread batch or print setting can shift a navy, red or crest color. A photograph alone will not capture the surface, lighting or shade reference needed to resolve the difference.

PROCUREMENT INSIGHT

A repeatable order needs physical and digital records. Retain an actual cutting of the first fabric lot alongside the approved color reference, thread codes and print files. Compare the next production lot under agreed lighting before cutting. A material change should trigger approval rather than silently becoming the new standard.

What to Check Before Approval

Request the retained cutting from your previous order and the related decoration files. Agree the shade-comparison method, tolerance and approval step before the reorder is released. See private label production references →

MATERIALS ARCHIVE

“Can you show the retained fabric cutting, color reference, thread codes and print files from our first order?”

Emblems, Numbers & Team Names

Approve how the artwork is made and where it sits.

THE PROBLEM

A crest that moves across sizes or a player name that starts peeling after washing turns a technical mistake into a visible team problem. The artwork can look correct on screen while the production file, material or placement is wrong on the finished garment.

PROCUREMENT INSIGHT

Decoration needs two approvals: the machine-ready artwork and the location on the garment. Review the embroidery digitizing or print production preview, then check a placement chart referenced to seams and size-specific measurements. A decorated pre-production sample should demonstrate the real material, attachment and wash result.

What to Check Before Approval

Supply clear vector artwork and the roster spelling and number list. Approve the decoration preview and a measured placement chart for the complete size range. Confirm sponsor and league permissions, then review the wash-tested garment before bulk. Explore embroidery →  ·  Printing methods →

ARTWORK PREVIEW

“Will we approve the stitch or print production preview before decoration starts?”

MEASURED PLACEMENT

“Does the placement chart define each emblem, number and name for every garment size?”

Delivery Before the Season

Put the season date into the production schedule.

THE PROBLEM

The roster may be final and the sponsorship announced while the uniforms are still waiting for a production slot. A late sample or revision can consume the shipping allowance. An apology does not replace a kit for the opening fixture, and urgent air freight can erase the original saving.

PROCUREMENT INSIGHT

Plan the dates for sample approval, material readiness, bulk production, inspection, dispatch and receiving as separate milestones. Ask how samples are scheduled alongside bulk work and whether capacity has actually been allocated. Identify the earliest unresolved input instead of relying on a single estimated delivery date.

What to Check Before Approval

Confirm the production window in writing after sample approval. Review the quoted delivery terms, destination and duties, freight and final-mile scope. DDP can combine the landed delivery cost, while the shipment plan should still distinguish dispatch from arrival. Review packing and dispatch requirements →

SAMPLING CAPACITY

“How is our sample scheduled without being displaced by larger bulk orders?”

WRITTEN MILESTONES

“Are the production, dispatch and receiving dates written into the order plan?”

YOUR NEXT DECISION

Work backward from the date your team needs the kit.

CLIENT RESULTS

Uniform Problems Resolved Before the Season.

Three Sportxia teamwear projects show how fitting, retained color references and a written schedule support the finished order.

SOLVED: FIT

US Community Soccer Club

Club kit and supporter apparel

Illustrative teamwear image for an anonymized Sportxia client case

THE PROBLEM

The first order had to cover a varied roster, including smaller players and taller adults. A single reference size had not provided enough confidence that the entire order would fit.

WHAT WE PUT IN PLACE

Sportxia prepared a six-size physical fit set from the club’s roster. Measurements and fitting comments were reviewed before bulk approval, and the signed sample set became the reference for production and later additions.

THE RESULT

The first production order required only 2 size adjustments. The club avoided a mid-season replacement run.

SOLVED: COLOR

US Team-Apparel Brand

Repeat programs for clubs and amateur teams

Illustrative teamwear image for an anonymized Sportxia client case

THE PROBLEM

The brand needed repeat kits to match the earlier season. A visible change between production lots would affect several teams and weaken confidence in the program.

WHAT WE PUT IN PLACE

Sportxia retained the actual fabric cutting, approved color reference and thread and decoration records. The next lot was compared against that archive before cutting, with the shade review recorded for the reorder.

THE RESULT

All 4 styles matched within approximately half a shade in the project’s visual comparison, preserving the established team colors.

SOLVED: TIMING

International Esports Organization

Competition jerseys, retail and sponsor apparel

Illustrative teamwear image for an anonymized Sportxia client case

THE PROBLEM

A 1,200-jersey program had a fixed event deadline and several receiving destinations. Sampling, sponsor artwork and shipment allocation all had to fit the same schedule.

WHAT WE PUT IN PLACE

Sportxia set the production window after sample approval, coordinated the artwork and inspection gates, and planned the agreed DDP destinations with tracking and shipment documents.

THE RESULT

The order shipped 5 days ahead of the deadline and was delivered to 3 countries.

FABRICS & DECORATION

Choose Materials and Finishes for a Full Season.

Put composition, fabric performance, color and decoration into the specification before reviewing the final price.

Fabric Options

  • Performance polyester. A useful starting point for match kits and training apparel. Specify quick-dry, moisture-management and colorfastness requirements for the selected fabric.
  • Poly-cotton blends. A softer option for practice tees, travel apparel and tracksuits. Compare comfort, shrinkage and durability on the finished sample.
  • Pique and performance knits. Consider structure and recovery for polos and repeated-use teamwear. Match the knit construction with the expected care routine.
  • Recycled polyester. An rPET option for programs with material-sourcing goals. Confirm the composition, performance and relevant recycled-content documentation.

Decoration Options

  • Embroidery. Review the digitized stitch preview and the finished crest before approval. How embroidery is produced →
  • Sublimation. Full-color designs are transferred into suitable polyester fabric, supporting all-over team graphics. Compare printing methods →
  • Screen print and DTF. Options for large team marks and event artwork; check compatibility, placement and the agreed wash test.
  • Tackle twill and patches. Stitched emblems and dimensional applications for selected uniforms, with attachment and care requirements in the brief.

COMMON QUESTIONS

Team Uniform Questions Before You Order.

Practical answers about minimums, reorders, decoration, timing and inspection.

What is the minimum for a team order across sizes?

The normal minimum is 100 pieces per style, with the agreed size breakdown forming one style order. The first project should include an approved fit sample in every ordered size. Selected styles also support a 50-piece pilot so the team can assess fit and quality before a larger order. Confirm the color, decoration and sample scope in your quote.

How do you keep next season’s colors consistent?

We retain the approved fabric cutting, color reference and decoration files for the program. The reorder lot is compared with that archive before bulk cutting, using the agreed shade method and tolerance. Any material or finish change is reviewed with you before it becomes part of production.

How are logos, player names and numbers checked?

Provide the approved vector artwork, spelling and number list. Review the stitch or print production preview and the size-specific placement chart, followed by a decorated physical sample. Define the wash procedure and acceptance criteria, and complete any league, sponsor or brand permissions before bulk production.

Can you supply an additional player during the season?

Contact us with the archived style reference, size and decoration details. We check retained materials, the number of garments and current capacity, then quote the practical replenishment route. The existing specification reduces redevelopment, while the actual quantity and delivery date still need confirmation.

How far ahead of the season should we order?

Work backward from the date the kit must be in the team’s hands. Sampling takes 7–15 days after inputs are confirmed, production takes 15–30 days after approval, and express transit is planned at 7–12 days after dispatch. Allow time for fitting, artwork revisions and inspection. DDP scope and destination requirements are confirmed in the shipment quote.

Which inspection standard applies to team uniforms?

The order plan defines AQL 2.5 sampling, measurements, workmanship, shade and decoration checks against the approved specification. Inspection photos and the report are shared before dispatch. Sportxia’s reported aggregate defect rate is below 0.3%, and the current ecommerce client return figure is 3.8%; the reporting scope and definitions are available on our fact-checking page →.

Can you manage a recurring seasonal uniform program?

Yes. Retain the approved size run, materials, decoration and inspection references as the standing program specification. Review the coming season’s roster, quantities and release dates before reserving capacity. This also creates a clearer approval path for a new style or a changed material within the program.
